Several forms have had format changes for printing and efile this year
including the W2, W3, and 1098 forms. The control number and the
social security number fields have changed position on the W2 form in order to
hide the social security number from being viewed in a window envelope.
Electronic filing requirements have also been updated to reflect

Which forms and software do I need to order?
W2 filing requirements (click to

The Social Security Administration (SSA) requires that all employers record the
wages paid and taxes deducted for each employee in a government approved
formatted W2 Wage and Tax Statement form. All employers MUST produce
printed output of Copy B - Employee Federal Copy, Copy C - Employee File Copy,
and Copy D - Employer File Copy. Employers with less than 250 employees
can either print Copy A - Federal Filing copies or they can use electronic
filing to submit the Federal Copy. Printed copies must be submitted to
the federal government by February 28, 2008 along with a W3 Transmittal Summary
form which itemizes the W2 forms being submitted (EASITax totals and fills
this form automatically). Electronic filers have until March 31, 2008 to
submit their electronic files and do not have to produce a printed W3
Transmittal Summary form. Employers in all states except the ones
listed below must also produce Copy 1 - Employer State/City
copy and Copy 2 - Employee State/City copy in printed
format.
Alaska, Florida, New Hampshire, Nevada, South Dakota,
Tenessee, Texas, Washington, and Wyoming DO NOT have to produce state employer
and employee copies.
EASITax is approved each year by the SSA to print these
government forms onto white paper or preprinted forms. Employers who
decide to print onto white paper should be aware of the fact that the forms
print 2 to a page. The official IRS Publication 1220 states that
"Forms provided to employees must have perforations to separate the forms
and each form must be provided with instructions. Scissors are not
acceptable as a way to separate the forms for distribution". This
requirement is because they use scanners to process the forms when they
arrive. As a result, Copy A and W3 must be submitted according to these
guidelines or provided on the government approved form which is printed in red
magnetic ink.

Forms 1099 and 1098 are used to report money paid
to non-employees that is in excess of $600 during the tax calendar year.
There are dozens of different formats for recording this information depending
on the reason that the money was paid out. Businesses are required to
provide these forms to recipients no later than January 31, 2008 and to file
paper copies with the federal government along with a 1096 Transmittal Summary
form by February 28th, 2008 unless they choose to file electronically on
or before March 28, 2008. Businesses that produce more than 250 forms are
required to file electronically. EASITax produces copies for the
Recipient on plain paper, however, IRS Publication 1120 states that
"Copy A and form 1096 can NOT be reproduced on white paper, they must be
printed on the goverment approved (red ink) copy unless they are filing
electronically. In addition to the Copy B and Copy C forms that are
required by all businesses who are filing 1099 or 1098 forms, businesses NOT
listed below also have to produce Copy D or 1 - Payer
State/Local copy and Copy 2 - Recipient State/Local copy in printed
format.
